These Terms and Conditions govern all services and payments provided to Cafering (Mario Idrovo Coffee Solutions LLC) and apply to all bookings, deposits, and services rendered.
By submitting a booking form or making any payment, the client agrees to these Terms and Conditions and confirms acceptance as a legally binding agreement.
1. Authorization
The individual completing a booking, approving a quote, or submitting payment represents and warrants that they are authorized to enter into this agreement on behalf of the client or organization named in the booking.
2. Venue Requirements and Client Responsibilities
The client is solely responsible for ensuring that the event venue provides all required accommodations for service, including but not limited to adequate access, setup time, service space, and utilities.
The service location must allow safe rolling access for carts and dollies and provide a stable, hard, flat surface suitable for equipment and staff operation. Sand, grass, gravel, stairs, uneven terrain, or restricted access must be disclosed in advance and require prior approval from Cafering.
The client is responsible for ensuring that any venue restrictions, loading access, security requirements, or permits are resolved prior to the event.
Failure to meet venue requirements may result in delays, reduced service, additional fees, or cancellation without refund.
3. Power Requirements
Unless otherwise approved in writing, the client must provide one standard 120V power outlet per coffee cart within 20 feet of the setup area.
If power is unavailable or inadequate, service may be delayed, limited, or canceled. Any generator usage must be approved in advance and may incur additional charges.
4. Setup and Access Timing
Cafering requires access to the service area a minimum of 75 minutes prior to the scheduled service start time unless otherwise agreed in writing.
Early setup, extended access, same-day storage, or arrival several hours or days in advance may result in additional fees to cover staffing, transportation, or equipment holding.
5. Early Setup, Overnight Storage, and Multi-Day Events
If the client requests early setup, multi-day installation, or that Cafering equipment remain on site outside of active service hours, including overnight or between event days, the client assumes full responsibility for the security and condition of all equipment during that time.
Cafering (Mario Idrovo Coffee Solutions LLC) is not responsible for any loss, theft, damage, vandalism, weather exposure, or tampering that occurs while equipment is unattended or under the control of the client, venue, or third parties.
In the event of loss or damage, the client agrees to reimburse Cafering for the cost, as determined by Cafering, to restore the affected equipment to full operational condition. This may include repair or full replacement. Cafering reserves the right to determine whether repair or replacement is appropriate based on operational downtime, safety, reliability, availability of parts, and business needs.
For mission-critical equipment, including but not limited to espresso machines, grinders, carts, and electrical components, replacement may be required if repair would cause unreasonable delay or impair service quality or reliability.
Additional fees may apply for early setup, overnight storage, extended holds, or return visits.
6. Service Area Size
A minimum service area of approximately 5 feet by 5 feet per coffee cart is recommended to allow for safe operation.
This requirement may be waived if the client requests service within an existing table, counter, or indoor space provided by the client and no guest line or dedicated service zone is required.
7. Outdoor and Weather Conditions
Outdoor service requires prior approval and appropriate coverage.
Cafering is not responsible for service limitations or cancellations caused by weather or unsafe conditions. If weather or site conditions prevent safe operation, Cafering may pause, relocate, or cancel service at its discretion. Reasonable efforts will be made to continue service safely or reschedule when possible.
8. Changes, Extensions, and Additional Charges
Any changes to service, including extending service time, adding hours, drinks, staff, equipment, or making requests beyond what is listed in the original quote, will incur additional charges.
Services, add-ons, or customizations not explicitly listed in the quote or invoice, including but not limited to coffee printers, custom cups, branding, or special requests, are not included unless stated in writing.
9. Fees, Payments, and Refunds
Event dates are not secured until an initial payment has been received or written payment terms have been approved by Cafering.
All payments are non-refundable once the event date is secured, except where required by law or if cancellation is initiated by Cafering.
Failure to meet venue requirements, access conditions, or service prerequisites does not entitle the client to a refund.
Cafering reserves the right, at its sole discretion, to issue a partial or full refund or apply a service credit in exceptional circumstances.
Unless otherwise agreed in writing, or if a Net 30 or other approved payment term has been granted, payment must be received within the agreed period. Any unpaid balance past its due date will incur a $75 late fee plus interest at 1% per week on the outstanding balance until paid in full. Cafering reserves the right to suspend services, withhold future bookings, or cancel upcoming services if balances remain unpaid.
10. Limitation of Liability
Cafering (Mario Idrovo Coffee Solutions LLC) is not liable for delays, limitations, or cancellations resulting from venue restrictions, access issues, power supply issues, weather conditions, acts of third parties, acts of God, natural disasters, government actions, labor disruptions, or other events beyond its reasonable control.
To the maximum extent permitted by law, Cafering shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from or related to the services provided.
In no event shall Cafering’s total liability exceed the total amount paid by the client for the specific event giving rise to the claim.
11. Acceptance of Terms
By submitting a booking form or making any payment, the client acknowledges and agrees to these Terms and Conditions. Payment of any invoice or deposit constitutes acceptance of this agreement and serves as an electronic signature.
This agreement is governed by the laws of the State of Florida.
If any provision of this agreement is found to be unenforceable, the remaining provisions shall remain in full force and effect.
